Last-Minute Office Diwali Catering Checklist

Food still unconfirmed for the office celebration? Use this short-notice checklist to assess availability, simplify the format and close essential details.

The celebration is approved, the office invitation has gone out and the food is still unconfirmed. At this point, a long menu discussion can use up the time you need for delivery, access and service arrangements.

Start by finding out what a caterer can actually deliver for your date, location and headcount. Then choose a workable format and close the details in writing. This checklist is for HR and admin teams organising an office Diwali meal at short notice in Noida or Delhi NCR. The timings below are a suggested way to organise your decisions, not a promise that a booking can be completed within an hour.

First 15 minutes: get one usable brief together

Nominate one person to coordinate the enquiry and one person authorised to approve the final cost. Multiple colleagues contacting the same supplier with different numbers will slow things down.

Put these details in a single message:

  • Event date and the exact time employees need to eat

  • Office address, building, floor and delivery entrance

  • Confirmed diners, expected additional diners and when the count will be final

  • Dietary requirements that must be discussed before confirmation

  • Available dining space and preferred service format

  • Total budget scope, including applicable taxes, delivery, equipment and service

  • On-site contact and internal approval deadline

If attendance is uncertain, give a range and ask when the supplier needs a firm order. Do not let an estimated headcount become the agreed billable number without checking.

Next 15 minutes: ask about feasibility before choosing dishes

The first question is whether the caterer can support the required service window. An available kitchen slot does not establish that transport, equipment and staff are also available.

Ask for confirmation of all four. Explain any venue limits immediately: a lift booking, loading restrictions, a security gate pass or a ban on particular heating equipment. Share the building's actual requirements rather than assuming a setup used at another office will be permitted here.

A useful feasibility reply identifies the proposed format, delivery and setup plan, menu choices still available and latest confirmation time. If any essential part remains uncertain, keep the booking decision open.

Simplify the format where it removes a real dependency

A shorter menu can be easier to finalise than several cuisines with separate counters. Choose dishes that work together as a complete meal, and ask which available options suit the venue and timing.

Consider the practical trade-offs:

  • A delivered buffet needs counter space, suitable holding arrangements, serving equipment and a plan for clearing up

  • Individually packed meals need an organised collection point, accurate meal counts and clear dietary identification

  • A live counter adds equipment, utility and staffing questions that may be difficult to resolve late

None of these formats is automatically the fastest choice. Ask the supplier which one it can reliably support for this enquiry. Avoid adding a live station or extra dessert after the agreed plan is already in motion.

Keep essential checks in the shortened process

Ask for the food business's applicable FSSAI licence or registration details and check them through FSSAI's official consumer services. Confirm that the details correspond to the supplying business and relevant premises. A document alone does not answer how your particular delivery will be handled.

Ask who is responsible for delivery acceptance, food holding and service. Check how ingredient questions and separately arranged dietary meals will be handled. If a requirement cannot be confirmed, resolve an alternative with the affected employee before the event. Do not substitute an unverified dish because time is short.

Also establish whether the order includes plates, cutlery, napkins, serving utensils, staff and waste collection. These small omissions can stop an otherwise complete lunch from being served.

Before payment or confirmation: close the commercial details

Review one written order summary containing the menu, quantities, service scope, timings, location and full quoted amount. Check the payment deadline and the terms for cancellation, reduced attendance, additional meals and substitutions.

Record who can approve changes. If an item becomes unavailable, the caterer should contact that person before replacing it, particularly where ingredients or dietary suitability may change.

An enquiry, a quote and a confirmed booking are different stages. Ask for an explicit booking confirmation and keep the supplier's on-the-day number with the final order.

Set a fallback decision time

Choose an internal point at which an unresolved booking will trigger a simpler plan. That might mean changing the service format, shortening the menu or moving the celebration meal to another agreed time. Confirm the new arrangement before updating employees.

Do not order from several suppliers as a precaution without understanding the separate payment and cancellation commitments. A backup that is not coordinated can become two deliveries and two bills.

On the day: check the handover before announcing lunch

Have the office contact meet the delivery at the agreed entrance. Match the delivered items and dietary meal counts against the order. Let the catering team complete its acceptance and holding checks, then verify that the serving or collection area is ready.

Only announce that lunch is open once food, equipment and the responsible people are in place. If there is a delay, share the revised plan after confirming it with the caterer.
